Thank you for supporting Practice 2000.  Our mission is to provide you with the best medical software and the best support service at a reasonable price.

The November 2011 Medicare fee schedules are included in the attached disc.  Please install them on 01 Nov as per the instruction later in this letter. TAC and Workcover fees are not yet available as at the time of printing this disc, nor are the Private Health Fund fees.

The disc also contains the latest Practice 2000 version.  Please keep it for reference.  If you wish to install it, please do this after November when the support service is less busy.

 New features in Practice 2000

 

Windows 64-bit, Windows 7, Vista compatibility

Practice 2000 with Medicare Online 6.11.4 is now fully compatible with all versions of Windows .

One-click batching for Medicare/DVA/Eclipse

Previously batching is usually done at the end of the day.  Now, once an invoice for a patient has been raised, you can batch it immediately by clicking the Batch Invoice button in the Invoices form. The new claim will have a single invoice, not multiple invoices as before.  To transmit the claims, please go into the Medicare Online or the Eclipse forms (in Admin Tasks).

Faster bulk-batching for Medicare/DVA/Eclipse

If you don’t batch invoices during the day, you can batch them at the end of the day.  Previously, the batching process asks a lot of questions; now you can bypass these questions for faster batching. In the Medicare Online or the Eclipse forms, click the Bulk Batching button.  Select all providers and all fee scales, then click Start. 

Comprehensive error checking for claims

Practice 2000 now does extensive error checking of Medicare claims before transmitting.

Live support (online chatting with the Practice 2000 team)

Sometimes you can’t call us because we have only a limited number of phone lines.  To get through to our support people, please click Get Live Answer from the Help Desk (on the Practice 2000 Main Form).  You will be able to chat online with us. 

Alternatively, email your question by clicking Send Us An Email on the Main Form.  This will work even if you do not have an email address.

New security setup

Deciding who can do what tasks in Practice 2000 is very important.  We have provided a simplified way to control access.  Please click Admin Tasks -> Setup -> Security Setup.  For each name on the left, you can select the tasks that person can or cannot do.

SMS and Email for patient appointments

If a patient forgets an appointment, your clinic loses money.  Hence many clinics employ staff to call up patients beforehand.  The labour cost is very high.

Our appointment book allows you to email or to send text messages to patients with just a few clicks.  Please call us if you want to setup SMS.  If you are already using SMS or email reminders, you can create personalized messages with the following data:

         Patient Title: %PatientTitle%

         Patient First Name:  %PatientFirstName%

         Patient Surname: %PatientSurname%

         Patient Full Name:  %PatientName%

         Doctor Title: %DoctorTitle%

         Doctor First Name: %DoctorFirstName%

         Doctor Surname: %DoctorSurname%

To use these “bookmarks”, please click Admin Tasks -> Setup -> SMS/Email Settings.

The emails can now be fully formatted like a Word document and can have attachments.  These advanced features require the installation of the .NET Framework version 4 (please contact us for setup)

Secured database backups

Backups can now be password-protected to prevent unauthorized reading.  To enable this feature, go to Admin Tasks -> Backup -> Option. Click Use Default Option and enter the password when asked

Other new features 

 

  • Patient Privacy Option: Some patients may not wish to be communicated by SMS or Email. Their preferences can be indicated on the Patient file by setting the Accept SMS/Email checkbox.

  • The name of the staff member who has created an invoice can be shown in the Invoice Details form (at the bottom).  To enable this feature, please click Admin Tasks -> Advanced Settings -> Miscellaneous. Scroll to the bottom of the list, add a new parameter called DISPLAYCREATORININVOICE, and set the value to TRUE.

  • Previously, in the Find Invoices form, you can only find invoices for a single fee scale.  Now you can find invoices for several fee scales in one go.

  • Online Claiming Verification: Bulk Bill and DVA invoices can be verified against Medicare’s rules for Online Claiming by clicking on the Check Invoice button on the Invoice Details screen.

  • Documents particular to an invoice: previously, a document such as a referral letter can only be attached to a patient.  Now a document can be attached to a particular invoice by clicking on the Doc button on the Invoice Details screen.

 
New features in Medinet (Practice 2000 Clinical Module)

·        Medinet and Practice 2000 now share Reminders and the Waiting Room.

·        Advanced patient searching by seen date, items, drugs being used, health issues and other clinical and demographic criteria.

·        Immunisations/Asthma/Pap smears/Diabetes register … searching.

·        Integration with Pencat.

·        myDr patient information leaflet.

·        Secure emailing with Argus.

·        CTG “Closing the gap” co-payment measures.

·        Diabetes assessment now takes atomic results from HL7 pathology reports.

Future development

 

  • Chronic Disease Management module for Medinet.  This will allow doctors to produce management reports for a patient in just a few minutes.

  • HPOS (Health Professional Online Service)  A new feature that helps health care practitioners check whether a patient is eligible for items such as 713 and 723.

  • Easyclaim For private patients, Medicare Easyclaim lets them  claim benefit, using the Hicaps terminal in the doctor’s practice. The benefit is paid directly into cheque or savings account almost immediately.

  • Secure Messaging between health practitioners including GP’s, specialists and pathologists.

  • Pathology system specifically for pathology laboratories.

  • Scheduling SMS: Sending SMS messages automatically

Installing Medicare / DVA Fee Schedules

 

The following procedure will copy the Nov 2011 fee schedules update from the Practice 2000 disc to the Practice folder on the local machine (usually C:\PRACTICE\SCHEDULE.MDB).  The existing fee schedules in Practice 2000 will NOT change until you issue a command to update the fees (see the next section).

  • Insert the Practice 2000 disc into the server. The Installation program should start automatically.

  • If not, click the Start button (usually at bottom left corner of your screen), and then “Run”.

  • Type “D:\Install”, then press Enter (replace D with the correct drive letter for your CD-ROM if necessary).

  • Click on Install Fees

  • Click Next to accept all the default options.

  • You don’t have to do anything on the workstations.

 

Updating Medicare / DVA Fee Schedules 

On 01/11/2011, update the fee schedules in Practice 2000 using the procedure below:

On the Server, go to Start => (All) Programs => Practice 2000 => Update Medicare Fees

Follow the on-screen instructions.

 

Upgrading Practice 2000

 

As support demand is very high in early November, it is recommended that you do this software upgrade in December so that we can give you more attention if any problem arises. 

 

Preparation

1.      The installation process takes about 5 minutes per computer. It might takes longer on old/slow computers. Please choose a quiet time to perform this action.

2.      Close all running programs on all computers in your network.  Restart each computer so that they are in a clean state.

3.      Perform a full backup of Practice 2000 database.  Check that the backup contains Practice.dat (SQL version) or Pracdata.mdb (Access version). The last modified date of the backup file should be the backup date.


“NORMAL” SERVER

 

Normal server refers to a server in a client – server environment.

1.      Start with the server computer. Log into the computer as Administrator.  Insert the Practice 2000 CD. The Installation program should start automatically.

2.      If not, click “Start” (usually at bottom left corner of your screen), and then “Run”. Type “D:\INSTALL”, then press Enter (replace D with the correct drive letter for your CD-ROM if necessary).

3.      Click Version Upgrade. When asked to update the database format, click OK to accept the default answer.

4.      Run Practice 2000 / Practice 2000 SQL.  It will reconnect itself to the database file on the server.

 

WORKSTATIONS

Workstation refers to a client computer in a client – server environment

Auto upgrade: If you currently use Practice 2000 SQL version 3.05 or later

1.      Open Practice 2000/ Practice 2000 SQL

2.      Click on Yes when asked to update the new version

3.      Follow the onscreen instruction

4.      Run Practice 2000 or Practice 2000 SQL.  It will reconnect itself to the database file on the server

Manual upgrade: If you currently use Practice 2000 version 3.04 (SQL) or 4.58 (Access) and earlier

1.      Insert the Practice 2000 CD. The Installation program should start automatically.

2.      If not, click “Start” (usually at bottom left corner of your screen), and then “Run”. Type “D:\INSTALL”, then press Enter (replace D with the correct drive letter for your CD-ROM if necessary).

3.      Click Version Upgrade.  Follow the onscreen instruction.

4.      Run Practice 2000 or Practice 2000 SQL.  It will reconnect itself to the database file on the server. For the Access version, this process may take 15 minutes on slow networks.

5.      In Practice 2000, try to find a patient.  If not found: click Admin Tasks, Setup, and Attach Database.  In the white box, you should not see C:\PRACTICE\… You should have something similar to \\SERVER\PRACTICE\PRACDATA.MDB (Access version) or  \\SERVER\PRACTICE\PRACTICE.MDF (SQL version). If not, change the database path to the correct one and click on OK/Attach

 

TERMINAL SERVICES SERVER

Terminal Services Server refers to a computer running Windows Server Operating System with Microsoft Terminal Server (WTS) enabled

1.      Log into the server computer as Administrator.  Insert the Practice 2000 CD.

2.      Click “Start” (usually at bottom left corner of your screen), Settings, Control Panel, Add/Remove Programs, Add New Programs, CD or Floppy, Next. Follow instructions until the Practice 2000 Installation program appears.

3.      Click Version Upgrade.  When asked to update the database format, please click OK to accept the default answer.

4.      Run Practice 2000 or Practice 2000 SQL.  It will reconnect itself to the database file on the server.

5.      There is no need to do anything on the workstations
